Quick start: your first bulk email campaign in 6 steps

1. Download HAAN MAIL PRO for Windows or Mac and install it.
2. Open the app and sign in, or create a free account.
3. Activate a plan from Profile (paid in USDT). See pricing.
4. Connect your sending account in SMTP Setup and click Test Connection.
5. Import your contacts from a CSV file in Contacts.
6. Create a campaign, send yourself a test, then click Launch Now.

HAAN MAIL PRO is a desktop bulk email sender. It runs on your computer and sends through SMTP accounts you already own, so you don't need a VPS, a dedicated IP address or an open port 25.

How to download and install HAAN MAIL PRO on Windows and Mac

Which download do I need?

• Windows 10 or 11 (64-bit): HAAN-MAIL-PRO-Setup.exe
• Mac with Apple Silicon (M1, M2, M3, M4): HAAN-MAIL-PRO-mac-arm64.dmg
• Mac with an Intel processor: HAAN-MAIL-PRO-mac-x64.dmg

Not sure which Mac you have? Click the Apple menu → About This Mac. “Chip: Apple M…” means Apple Silicon; “Processor: Intel” means Intel. The app needs macOS 12 Monterey or newer.

Install on Windows

1. Open HAAN-MAIL-PRO-Setup.exe from your Downloads folder.
2. If Windows shows “Windows protected your PC”, click More info → Run anyway.
3. Follow the installer. HAAN MAIL PRO opens when it finishes and adds a desktop shortcut.

Install on macOS

1. Open the downloaded .dmg file and drag HAAN MAIL PRO into Applications.
2. Open it from Applications. If macOS says it can't be opened, go to System Settings → Privacy & Security, scroll down and click Open Anyway.

Only download HAAN MAIL PRO from haanmail.pro/download. Copies from other websites may be modified.

Create an account and activate a plan

Your HAAN MAIL PRO account works on the website and in the desktop app. Sign up on the websiteor click Create an account on the app's sign-in screen, then sign in to the app.

Pay with USDT

1. In the app, open Profile and choose a plan. Compare plans on the pricing page.
2. Pick a payment network: USDT on TRC20 (Tron), BEP20 (BNB Smart Chain) or ERC20 (Ethereum). TRC20 and BEP20 have the lowest fees.
3. Send at least the plan price in USDT to the deposit address shown, on the network you picked.
4. Copy the transaction hash (TxID) from your wallet or exchange, paste it and click Verify & Activate.

If the blockchain has already confirmed the transfer, your plan activates straight away. Otherwise it shows as under review and our team activates it shortly. Each TxID can only be used once.

Sending a different token, or USDT on the wrong network, can't be matched to your order. Check the network before you send.

How to connect your SMTP account

SMTP is the standard way email apps send mail. HAAN MAIL PRO logs in to your email provider's SMTP server and sends each message as you, so replies come straight to your inbox.

1. Open SMTP Setup and pick a preset (Gmail, Outlook, SendGrid, Amazon SES, Brevo, Mailgun) or Custom.
2. Enter the host, port, username (usually your full email address) and password.
3. Enter your From name, From email and an optional Reply-To address.
4. Click Test Connection. When it succeeds, click Save Settings.

Which SMTP port should I use: 587 or 465?

• 587 (STARTTLS): leave SSL / TLS Encryption off. Works with almost every provider.
• 465 (SSL): turn SSL / TLS Encryption on.
• 25: don't use it. Most home and office internet providers block port 25.

How to create a Gmail App Password for SMTP

1. Go to your Google Account → Security and turn on 2-Step Verification.
2. Search for App passwords in your Google Account, create one named “HAAN MAIL PRO” and copy the 16-character password.
3. In SMTP Setup choose the Gmail preset, enter your Gmail address as the username and paste the App Password as the password.

Gmail allows about 500 emails a day on a free account and about 2,000 a day on Google Workspace. For bigger lists, add several accounts to the SMTP pool instead of pushing one account to its limit.

SMTP pool: rotate multiple sender accounts

SMTP rotation spreads a campaign across several mailboxes, so each one sends a small, natural-looking share and stays well under its provider's daily limit. This protects your sender reputation and lets you send more emails per day.

1. Open SMTP Pool and click Add SMTP Account for each mailbox.
2. Test each account (or all at once) before sending. Use the ✏️ button to edit an account; leave the password empty to keep the current one.
3. When SMTP Setup is empty, campaigns automatically rotate through all Active pool accounts. If SMTP Setup is filled in, turn on Rotate SMTP Sender Pool in the campaign.

The sidebar shows a Live or Paused status for each account, and the pool table shows real numbers for each one: emails sent, success rate and average send time.

Warm up new mailboxes: start with a few dozen emails a day and increase gradually over 2–4 weeks.

How to import contacts from a CSV file

1. Open Contacts and click Import CSV File, or New List to start an empty list.
2. Upload a .csv, .tsv or .txt file up to 25 MB. Commas, semicolons and tabs are detected automatically, so Excel and Google Sheets exports work.
3. Columns named email, name, first name, last name and company are recognised automatically. Every other column becomes a merge tag.

• Invalid addresses are skipped and duplicates are removed.
• No name column? Names are created from the address, e.g. john.doe@acme.com becomes “John Doe”.
• Verify MX checks that each recipient's domain can receive email, which lowers your bounce rate.
• Use Merge Lists to combine lists and Export to download one.

Design email templates (drag-and-drop or HTML)

• Visual Builder: drag in blocks (header, image, heading, text, button, columns, cards, divider, spacer, social links, HTML and footer) and edit colours, fonts, spacing and links in the side panel.
• HTML Code: paste your own HTML email. You can still click elements in the preview to edit them, or convert the HTML into visual blocks.
• Preview on Desktop and Mobile, and send yourself a test email before using a template.
• Earlier versions are saved automatically, so you can roll back a change.

Personalise emails with merge tags

Put these tags in the subject line or body, and every recipient gets their own value.

How to send a bulk email campaign

The Campaigns page has four steps. Your draft saves automatically as you go.

1. Recipients

Choose one or more saved lists (duplicates are removed), upload a CSV or paste addresses. Click Verify List to remove bad addresses before you send.

2. Compose

Enter a subject and choose a template or write your own message. Use Preview Email and Send Test to check it in a real inbox. You can attach up to 5 files (25 MB in total). Turn on A/B testing to try two subject lines on a 50/50 split.

3. Delivery & safety

• Delay and random jitter: the wait between emails. Random variation looks natural to spam filters.
• Batch size and pause: send in groups with a break in between.
• Rotate SMTP Sender Pool: spread the campaign across your pool accounts.
• Schedule for later: pick a date and time. The app must be open at that time.
• Automated follow-up: send a second email after a number of days, optionally only to people who didn't open the first.

4. Launch

Click Launch Now. A live panel shows every email as it's sent, and you can Pause, Resume or stop at any time.

Campaigns are sent by the app on your computer. Keep the computer on and connected to the internet until the campaign finishes. HAAN MAIL PRO stops your computer from sleeping while it sends and asks for confirmation if you try to close it during a campaign.

How to avoid the spam folder when sending bulk email

• Authenticate your domain: add SPF, DKIM and DMARC DNS records. Your email provider explains the exact records.
• Warm up new accounts: start small and increase volume over a few weeks.
• Send slowly: keep at least 2–5 seconds between emails with jitter, and use batches for large lists.
• Fix spam-score warnings: avoid ALL CAPS, lots of exclamation marks, image-only emails and misleading subjects.
• Keep bounces low: verify every list before sending. A high bounce rate damages your sender reputation.
• Make unsubscribing easy and only email people who expect to hear from you.

Before a big send, send a test to Gmail and Outlook inboxes you own and check whether it lands in Inbox or Spam.

Open tracking, click tracking and unsubscribe links

Tracking pixels, tracked links and one-click unsubscribe links point back to the app. Recipients can't reach a program on your computer directly, so by default the desktop app sends emails without them instead of including broken links.

• To turn them on, the app needs a public web address that forwards to it (for example a free Cloudflare Tunnel), set as publicUrl in File → Open Settings File. Contact support and we'll help you set it up.
• Until then, include your own opt-out line in every email, for example “Reply ‘unsubscribe’ and we'll remove you”, and add those addresses to your suppression list.

Suppression list: unsubscribes and bounces

Addresses on your suppression list are never emailed, even if they appear in a list you upload later.

• People who use your unsubscribe link are added automatically.
• Hard bounces (mailboxes that don't exist) are added automatically.
• You can add one address or paste many at once, remove entries and export the list.

Email analytics and campaign reports

• Analytics shows sent, failed, open and click rates across campaigns, plus A/B subject results.
• History lists every campaign. Open one to see each recipient's result, duplicate it or download a CSV report.
• Opens are counted when the recipient's email app loads images, so real open rates are usually a little higher than shown.

Your data, backups and app updates

• Stored on your computer: contacts, templates, SMTP accounts and campaigns stay on your PC or Mac, separately for each account that signs in. Only your account and plan are stored on haanmail.pro.
• Back up: use File → Open Data Folder and copy the folder somewhere safe. On Windows it's in %APPDATA%\HAAN MAIL PRO, on Mac in ~/Library/Application Support/HAAN MAIL PRO.
• Offline: the app keeps working for up to 7 days without internet before it needs to re-check your plan (sending email still needs a connection).
• Updates: the app checks for new versions automatically (or use Help → Check for Updates). Windows installs updates on restart; on Mac, download the new version and drag it into Applications. Your data is kept.
